Please fill out the following application to start your search and we will be in touch within 24 – 48 hours.

Family Application
Keep in mind it can take 2 - 8 weeks to complete the whole placement process.
We currently have 30 hour weekly minimums for nannies and domestic openings we are able to place in this competitive market. To move forward successfully in starting a search through our agency, your family must be able to employ the candidate you hire for a minimum of 30 hours a week, each week. If you do not have at least 30 hours of a need for a nanny each week, we suggest adding House Management hours if needed. We also do not place any split shift or live-in positions.
Typical light household duties include: The children’s laundry and changing their sheets weekly, prepping the children’s food and feeding the children, washing or putting away dishes, etc., sanitizing bottles, toys, and surfaces, stock diapers and other items, and emptying diaper pail as needed. (Nannies do not perform any heavy house cleaning duties)
Average hourly pay in Charlotte and the Carolinas is $20.00 - $30.00 per hour, depending on expectations, number of children, duties, and expertise. We require all nannies and domestic employees to be paid legally by W-2 payment. 1099's are illegal in the industry. Also, nannies and domestic employees must be paid time and a half for any hours worked over 40 hours in one work week (please calculate hourly rate accordingly). For your convenience we have partnered with nanny and domestic payroll companies to help you facilitate paying your nanny and domestic employee legally. This will ensure all parties are tax compliant. *Please note that we do not provide tax or legal advice. Please reach out to a payroll service, your accountant, or attorney, to go over tax compliance.*
All Nannies and Domestic Candidates we place require the following minimum benefits: two weeks of paid time off, 3 paid sick days, paid major holidays, continued pay while family is away, and paid mileage (Driving on the job, not to and from work) or nanny car to drive on the job, and a annual performance based bonus. Health benefits or stipend, and a 401 k are optional benefits, but a plus if you are able to offer any of those benefits as well.
Sign on bonuses are not required, but a benefit in securing a nanny or domestic professional in a competitive market.

Below you will find more information on our placement process and how we can best help you find your next nanny, babysitter or domestic employee.

The Process

Nanny and Domestic Placement Process Steps

To apply, you will fill out an application above. Once the application is submitted, you will be directed to PayPal to pay a $250.00 non-refundable registration fee. (This covers the background check and administrative costs to conduct your search).

After we receive your application, we will email within 24 – 48 hours to set up an intake appointment. During that intake appointment a placement coordinator will go over your individual needs, go over the process in detail, detail industry standards and legal pay requirements, and answer any questions you may have.

Following that appointment, we will then email a client agreement over to read over, and e-sign if the clients agree to the terms of working with the agency. (This agreement goes over the process, terms and conditions, and the replacement search guarantee.)

We also provide each family with detailed information on how the process works, legally paying nanny and domestic employee, industry standards, suggested interview questions, and other important information to set each family up for a successful placement.

A placement coordinator will write up a custom job description, then send over via email for edits and approval.

Once approved, we will post your posting and get the search started. We advertise your position on our website, multiple job boards, on social media (we create a custom social media advertisement for each placement), and via our monthly newsletter to candidates in our extensive database).

Once we have candidates that express interest, we will send nanny and domestic candidate profiles (that best meet your needs) to review. Once profiles are reviewed, the client will let the agency know who they wish to interview.

We set up virtual interviews first, then in-person interviews with the candidates of the client’s choice.

After interviewing the candidates, the client will notify the agency on which candidate they would like to move forward with in the hiring process.

The agency will then provide a copy of the nanny or domestic candidate’s reference report (where one of our staff members have called references and written a report for the family. The family is then encouraged to call references directly as well.). A full background check is then conducted (we conduct the most extensive nationwide background checks in the industry as close to hiring as possible to provide the most up to date information possible), once completed the full background check report is sent to the clients for review.

The clients will put together an official work agreement at this point. Charlotte’s Best Nanny agency provides a work agreement template to use to develop a work agreement for the position. The agency has developed this work agreement template over the years to include industry standards, go over pay, benefits, duties, and expectations, and just about anything related to employing a nanny or domestic employee. Alternatively, the clients can use a work agreement of their own. Once the work agreement is ready, the clients will send the agreement over to the agency. Then the work agreement is sent out for review and e-signature.

Once the agreement is signed by both parties and every step is completed, the agency will invoice the family for the placement fee. Paying the placement fee is the final step in placement and will finalize the placement process.

The clients are at all times the direct employers of any Nanny or Domestic employee hired. They are solely responsible for hiring and terminating their employee, managing and overseeing employment, paying the employee legally, and providing the benefits outlined in the work agreement.

Charlotte’s Best Nanny Agency NEVER directly employs any nanny or domestic candidates referred, and is solely a referral agency. Furthermore, the agency is not responsible for managing or overseeing employment, paying employees, or hiring or terminating employees. That is the responsibility of the clients who are directly hiring the candidates.

Charlotte’s Best Nanny Agency Offers continuous support for all clients, for the whole duration of the placement whether it’s a 6 month placement or  the placement last 10 years. Between working in the industry, ourselves, placing nannies and domestic professionals for almost 10 years, and managing our own domestic employees, we have the experience and expertise to help your family through any situation, or answer any questions that may come up.

All Long-Term Placements Come With Our Amazing 12-month Replacement Search Guarantee!

Charlotte’s Best Nanny Agency offers a replacement search guarantee for all long-term placements for the first 12 months (No guarantee is provided for short term or temporary placements). This is not a money back guarantee, but simply states that we will provide a replacement search one time FREE of charge within the first 12 months if the candidate quits or is let go. This is one of the longest and strongest guarantees in the nanny placement industry and we have provided this to families over the past 9 plus years. We are able to offer this guarantee because we believe in the quality and extensive pre-screening process that comes with our placements.

Back-Up Care

Your next question may be “So what do I do if my nanny is sick or going on vacation, and is not able to work?” At Charlotte’s Best Nanny Agency, we make every effort to coordinate back up care when a nanny and domestic is out of work.

We offer a backup nanny service to our current clients. Our backup service is provided in order to make every effort to provide a backup care provider in your employees absence. We cannot provide a 100% guarantee that we will be able to confirm a backup care provider for each need. However, we make every effort to confirm a backup care provider. If we are able to confirm a provider for a backup need, we charge a daily placement fee of $30.00 a day. The family is then responsible for paying the backup nanny directly at $20.00 dollars plus an hour (hourly rate will be pre-negotiated, prior to the backup care provider’s arrival), depending on the amount of children cared for and the experience and expertise of the provider.
